Position Purpose

University Relations, composed of the Development Office, Alumni Relations, and the University of Marketing and Communications, builds Santa Clara University's excellence and character by strengthening relations with alumni, parents, and friends of the University, raising public awareness, and increasing private philanthropy, which supports the University's growth and reputation. Remaining faithful to the values that inspired its founding, the Alumni Association continues to build and strengthen the relationship between the University and its alumni. It strives to keep all Santa Clara alumni passionate about their experience and proud of their education by nurturing personal connections with the Reporting to the Associate Director, Operations, and Finance, the Finance and Data Specialist oversees key Alumni Relations financial and operational transactions. Specific responsibilities include financial/budget operations, event processing, program support, and performance measurement/reporting in support of operational quality and outstanding customer service for our alumni and University constituents.

Essential Duties and Responsibilities
1. Finance and Budget Management
a. Manages department-wide budget processes, including formulations of annual budgets, monthly/quarterly reports, mid-year projections, and evaluation of all funds.
b. Oversees all financial transactional processes including payment requests, reimbursements, vendor invoices, deposits, and refunds.
c. Develops and maintains relationships with regular departmental vendors.
d. Manages all fiscal data for departmental and institutional reporting.
e. Manages the collection, tracking and timely remittance of donor gifts sent to the Alumni Association or personally delivered to the Donohoe Alumni House.
f. Manage departmental Independent Contractor Agreements.
g. Primary liaison relationship manager with the University Finance Office, Gift Processing Department, and the University Relations Budget Manager and Director.
h. Provides long-range financial planning guidance and prepares special financial analyses for AVP and others, as requested.

2. Event Reservations
a. Manages event reservations and processes various payment types (i.e., credit card, cash, and checks) within Blackbaud CRM/BBIS.
b. Proactively communicates and shares event status/updates with appropriate Alumni Relations team members.
c. Administers online gift donations and refunds for the UR Gift Processing Department.
d. Processes and prepares appropriate performance measurements for reservations and associated transactions.

3. Program Support
a. Provide operational support to key Alumni Relations programs, including the Alumni Family Scholarship Program.
1) Responsibilities include program documentation, seasonal program reviews, data analysis, and annual measurement analysis and evaluation.

4. Performance Measurement & Reporting
a. Manages specific operational data collection and reporting for departmental and institutional reporting, including the Alumni Association Annual Report, the annual University Relations Metrics Report, the annual PCUAD ARAMP survey, and other benchmarking surveys, as requested.
b. Responsibilities include data collection, data reporting, trend analysis, process documentation, and operational recommendations.

Provides Work Direction
The Finance and Data Specialist provides work direction for the student assistants assigned to the Operations/Finance area.

1. Spend considerable time at a desk using a computer terminal and using your hands and fingers.
2. Stand and walk to greet and assist visitors; distribute mail, packages, supplies, and equipment throughout the office; open/close office, etc.
3. Reconfigure conference rooms' chairs and tables as needed.
4. Talking and hearing.
5. Lifting of various deliveries but no more than 40 lbs.
6. Bending and reaching of various items within the cabinets or attic area.
7. Maybe required to travel to other buildings on campus, suppliers or vendors.

Work Environment
The work environment characteristics described below are representative of those an employee encounters while performing the essential functions of this job.

1. Typical office environment: mostly indoor office environment with windows
2. Frequent interruptions, particularly during large events.
3. Routinely uses standard office equipment such as computers, phones, copier, scanner, filing cabinets, fax, and credit card machines.

Knowledge
a. Demonstrated experience in managing expenses and financial transactions.
b. Possesses expertise in Microsoft Office including Word, Excel, and PowerPoint; experience with statistical software and knowledge of various database programs a plus.
c. Experience with Google products including Gmail, Drive, and Calendar.
d. Experience with Blackbaud CRM/BBIS or equivalent Customer Relationship Management (CRM) database.
e. Strong working knowledge and understanding of customer service concepts, principles, procedures, and techniques.
f. Understanding and appreciation of the mission of Santa Clara University and the vision and values of a Jesuit Catholic educational institution.

Education and/or Experience
a. Bachelor's degree required.
b. Three-five years of directly related experience in budget/finance management. Experience with data/operations management preferred.

Salary Information
$27.43 - $31.52 per hour, commensurate with experience
